Kleboe Jardine is committed to high standards of information security, privacy and transparency. We place a high priority on protecting and managing data. We are compliant with applicable GDPR regulations as of April 2018 as data processors. Compliance will be supported by continuous review of existing contracts with data controllers, the use of contractors and data export arrangements.

Kleboe Jardine’s Data Controller will inform, advise and monitor compliance. We will implement tools as appropriate that support the process, provide necessary security and ongoing delivery of objectives.

What information do we collect about you:

Information supplied by you (which includes, without limitation, sensitive personal data) will be used in the recruitment process and all associated administrative functions. This requires us to both store and process the information amongst other things, the information may then be passed to perspective employers and clients whom we think may be interested in your services.

Kleboe Jardine may use collected data from the information provided by you (which includes, without limitation, sensitive personal data) to aid our understanding of our users as a group so we can adapt and improve our service. We may share this information with third parties on a confidential basis where no individual names or identifying information will be disclosed.

Please note that you should update the information on your CV and personal information as and when necessary to ensure that it is as accurate as possible. Please contact us directly either by email or post and we will be happy to amend your records quickly.

 

How will we use your information:

Upon receiving your CV, we will import your information into our computer system and review your potential for current vacancies we have. Our policy is to retain your cv along with any additional provided information within our system for two years. At this point we will contact you to confirm if you wish to remain on our database or be removed. We can delete your file at any time, upon written request with a form of identification, this will be completed within thirty days of request. Please refer to the “Access to your information and correction” section of this policy.

Once you have been added to our database, we will add you to our Registered Candidate Newsletter which contains updates on our vacancies and other company information, you have the option to unsubscribe from this at any time. We will process data which you provided when completing an application form or any other type of registration in accordance with GDPR guidelines.

After initial discussion between Kleboe Jardine and candidates, we may wish to forward your CV to our client. This will be confirmed with the candidate prior to submission along with full details of the company receiving the information.

 

Data Protection:

The information that we hold in regard to applications, which we process fairly and transparently is termed “personal data” under GDPR. We therefore follow the principles set out in the Act under the basis of “Legitimate Interest” and we continuously process all data in a fair and lawful manor. In relation to applications we don’t actively collect or retain information classed under GDPR as “sensitive data” as it is not required to achieve our company goal, we only retain information that is necessary.

The information that we hold in regard to contracting, which we process fairly and transparently is classed as both personal and sensitive data under GDPR. We therefore follow the principles set out in the Act under the basis of “Contract” and we will continuously process all data in a fair and lawful manor. The information is used to fulfil a contractual obligation between candidate and client.

As outlined in contract law, in this context, a contract does not have to be a formal signed document, or even written down, as long as there is an agreement which meets the requirements of contract law.

Access to your information and correction:

You have the right to request a copy of the information we hold about you, if you would like a copy of some, or all, of your personal information please write to us at the below address or email us with proof of your identity. We will then provide you with a readable copy of the personal data that we keep about you within thirty days.

We also allow you to challenge the data we hold and, where appropriate, you may have the data erased, rectified, amended or completed.

We have implemented technologies and policies to protect our data storage and to protect your personal information from unauthorised access, improper use or disclosure, unauthorised modification or unlawful destruction or accidental loss. We will review and monitor these processes and implement changes if and when appropriate.
